Canecadia ("we," "us," "our") is committed to respecting your privacy. This policy explains what information we collect when you use canecadia.com, how we use it, and the choices you have. If you have any questions, email admin@canecadia.com.
What we collect
Information you provide
When you fill out the contact form, use the revenue leakage estimator, book a meeting through our scheduling tool, or call our phone number, you may choose to provide:
- Your name
- Your email address or callback number
- Your company, practice, or operation name
- The nature of your inquiry or area of interest
- Any message, notes, or estimator inputs you choose to include
Phone calls handled by an AI agent
When you call our phone number, your call is answered by an AI voice assistant (built by Canecadia using Vapi and Twilio). The assistant identifies itself as an AI at the start of the call. To operate the service and follow up appropriately:
- The call audio is processed in real time to generate responses.
- A written transcript and a structured summary of the call (caller name, organization, reason for call, callback details) are generated and retained.
- Call audio recordings may also be retained for a limited period for quality, debugging, and follow-up purposes.

Information collected automatically
Like most websites, our web server logs basic technical information when you visit:
- Your IP address
- Browser type and version
- Pages you view and the time of your visit
- The referring page, if any
We do not currently use cookies or third-party analytics tracking on this site. If we add analytics in the future, we will update this policy and choose a privacy-respecting service that does not require visitor identification.
How we use this information
We use the information you provide to:
- Respond to your inquiry and follow up with relevant information
- Schedule and conduct an introductory conversation
- Send a confirmation that we received your message
- Send you a copy of estimator results when you request one
- Improve how we communicate about our services
We do not sell, rent, or share your information with third parties for marketing purposes.
Third-party services we rely on
We use a small number of trusted third-party services to operate the site and respond to inquiries. These services act as data processors on our behalf and are bound by their own privacy commitments:
- Postmark — transactional email delivery. When you submit a form, your message reaches us through Postmark, and the confirmation email you receive is also sent via Postmark. Their privacy practices are described at postmarkapp.com/privacy-policy.
- Twilio — telephony provider. When you call our phone number, Twilio routes the call to our AI assistant. Their privacy practices are described at twilio.com/legal/privacy.
- Vapi — AI voice agent platform. Calls to our front desk are handled by an AI assistant built on Vapi. Call audio, transcripts, and structured summaries may be processed and stored to operate the service. Their privacy practices are described at vapi.ai/privacy.
- Calendly — meeting scheduling. If you book a call using our Calendly link, Calendly will collect the information required to schedule the call. Their privacy practices are described at calendly.com/legal/privacy-notice.
- Our hosting provider — operates the servers that deliver this site and store server logs. Logs are retained only for the period needed for normal site operation and security.
Data retention
We retain inquiries and the information you provide for as long as is reasonably needed to respond to you and maintain a record of our communications. If we have not had meaningful contact for a sustained period and you have not become a client, we will delete or anonymize the information.
If you ask us to delete information you have provided, we will do so within a reasonable period unless we are required to retain it for legal reasons.
Security
We take reasonable measures to protect the information you submit:
- The site is served over HTTPS, so traffic between your browser and our server is encrypted in transit.
- The contact form is rate-limited and protected by basic anti-spam measures, including a honeypot field and per-IP submission throttling.
- We do not collect, store, or process payment information through this site.
- Access to inquiry data is limited to people at Canecadia who need it to respond to you.
- API credentials for third-party services are stored server-side and are never exposed in your browser.
No method of transmission over the internet or method of electronic storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
Your choices and rights
You can:
- Choose not to provide information by simply not submitting forms or using the scheduling tool.
- Ask us at any time what information we hold about you.
- Ask us to correct or delete information you previously provided.
- Opt out of any further communication from us.
To make any of these requests, email admin@canecadia.com. We will respond within a reasonable period.
Children
This site is intended for business audiences and is not directed at children under 13. We do not knowingly collect information from children.
Changes to this policy
We may update this policy from time to time. The "last updated" date at the top of the page will reflect any changes. Substantive changes will be noted clearly. Continued use of the site after a change indicates acceptance of the updated policy.
